Fun With Fiction Privacy Policy

Fun With Fiction never sells your information, and we only use it to care for the kids and families we serve.

Fun With Fiction is a volunteer-driven 501(c)(3) nonprofit in Vancouver, WA. We create story-based care packages, like our Comfort Book Buddy Boxes and Holiday Book Buddy Boxes, for children going through hard times. This policy explains what we collect when you visit funwithfiction.org, nominate a child or family, donate, sign up for our newsletter, or volunteer with us, and how we look after it.

What we collect

We only ask for what helps us choose the right books and gifts and get them to the right family.

  • About you, if you nominate someone: your name, phone number, email, how you know the family, and your school or organization if you have one.

  • About the family: a parent or guardian's name, phone and email, a home address (or a note that it isn't safe to share one), ZIP code, whether someone can pick up, languages spoken at home, and holidays the family celebrates.

  • About each child: first name, age, birthday month, grade, interests, favorite characters and colors, how they read, clothing and shoe sizes, allergies, what helps them feel calm, and small gift wishes.

  • About this season: anything you choose to share about what the family is going through, plus optional tags like "housing change" or "loss of a loved one."

  • Your permissions: whether we may check in once in January, share an anonymous profile with a donor, or share an anonymous story or photo.

  • Donations: donations are handled by our payment partner, Givebutter. We see your name, email and gift amount, but never your full card or bank details.

  • Newsletter: your email address, so we can send news and updates.

  • Our team portal: when a team member or volunteer signs in with Google, we receive their name and email address only to confirm they're on our team.

  • Website visits: our website runs on Wix, which may collect basic visit information like pages viewed and device type, as described in Wix's own privacy policy.

How we use it

  • To read and review each application by hand, and choose books and gifts that feel made for each child.

  • To email you about your application, including approval notifications and pickup details. We handle all communication by email and only call if we can't reach you.

  • To spot duplicate applications, so we can reach as many kids as possible.

  • To check in once in January, but only if you said yes.

  • To share an anonymous family profile (ages, interests, wishes, never names) with a donor who wants to sponsor a family, but only if you said yes.

  • To share an anonymous story or a photo of a wrapped box (no faces, no names), but only if you said yes.

  • To send our newsletter. Everyone who applies or nominates is added, and you can unsubscribe anytime with the link at the bottom of any email.

Who can see it

  • Our core team can see everything you share, so they can review applications and stay in touch.

  • Our volunteers help pick and pack boxes. They see each child's first name, age, interests, reading notes, sizes and allergies, and what the family is going through. They do not see last names, phone numbers, email addresses or home addresses.

  • Donors never see names or contact information. They only see an anonymous profile, and only if you gave permission.

  • Service providers help us run Fun With Fiction: Google (where applications are stored and email is sent), Netlify (which hosts our forms and team portal), Wix (our website), Givebutter (donations) and our email newsletter service. They handle your information only to provide those services to us.

  • We never sell, rent or trade your information. We would only share it if the law required us to, or to protect a child's safety.

Children's privacy

We collect information about children only from their parents, guardians, or trusted adults like teachers and counselors. Applications must be filled out by an adult. We don't knowingly collect information directly from children under 13, and if we learn that a child sent us their own information, we'll delete it.

Keeping it safe

  • Applications are stored in a private Google account owned by Fun With Fiction.

  • Only people on our team list can sign in to our team portal, and every change made there is logged.

  • Volunteers only ever see the limited details listed above.

How long we keep it

We keep application details through the holiday season and our January check-ins. After that, we archive children's details and family contact information, except email, within 1 year. We may keep anonymous totals, like how many kids we served, for our records and grant reports.

Your choices

  • Unsubscribe from our newsletter anytime using the link in any email.

  • See, correct or delete the information you shared by emailing us. We'll respond within 30 days.

  • Change your mind about the January check-in, a donor profile, or sharing a story by letting us know.
